Client Background

FileForms is a U.S. business-compliance platform that helps companies and the professionals who serve them handle entity formation, EIN requests, registered-agent service and annual state filings from one place.

NextGen Coding Company runs an embedded engineering team on the platform, covering frontend, backend, integrations and QA.

The Problem

Growth was coming from two directions at once: businesses registered in many states, and accounting and tax partners who wanted compliance built into the tools their teams already use. The product was built around one company in one state.

  • Filing for several states meant repeating the same order again and again.

  • Checking filing status meant someone visiting state websites by hand.

Our Solution

Over a focused one-month delivery cycle the team worked a prioritized backlog of roughly 80 items: new features, integrations, automation and defect fixes, with every item triaged and either shipped or deliberately closed out.

  • Multi-state filing: one order can now cover several states, with the company's states pre-filled and sorted to the top, and a redesigned company profile for entities registered in many states.

  • Embedded partner experience: an embeddable version of the product for an accounting-software partner, plus a two-way integration with a practice-management tool that closes client tasks automatically when a filing is completed.

  • Self-serve organizations: team management, admin invitations, magic-link sign-in that returns users to where they left off, notification settings and activity logging.

  • Automated status tracking: scheduled checks of state filing status for supported states, with backend validation of orders and a fix for a timeout in the scheduled jobs.

  • Platform groundwork: webhook and API design for partners, research into franchise-tax rules across all 50 states, and support for foreign responsible parties on EIN requests.

  • Polish: consistent spacing and alignment across forms, faster review-and-edit flows, and settings toggles that save independently.

  • Multi-state customers can file for all of their states in a single order instead of one at a time.

  • Manual status checks were replaced with scheduled, automated checks for supported states.
